We are very pleased to announce Version 8.2 of Intelec. Quantrax plans general release of Version 8.2 in May 2007. This update was discussed at the last user conference. The goals were lofty and we are pleased to say that we have substantially met or exceeded the objectives in the projected time frames. Version 8.3 will build on this and contain some of the features we were not able to include in this version.

There are many changes to the areas of Smart Codes, Security, the working of accounts and the account audit. Please review carefully before installing.


As we have mentioned, we are providing you with some new and powerful tools. If utilized, these options will utilize processor capacity and at some point you may need to consider adding memory especially if you are on an older machine and are experiencing a slower response time. The newer machines are capable of handling heavier processor input and more complex environments. So if you experience slower response times while running many interactive jobs, please consider adding more memory or upgrading your iSeries (AS/400). Remember, based on today’s cost of hardware and the state-of-the-art technology we offer, we are suggesting that you should strive to have sufficient disk so that your disk utilization is less than 55 - 60%. (You can check the present value of disk utilization by keying in “WS” at any menu, and looking for “System storage used” or “% system ASP used”)


Due to the size of the program library (SCLIB) we will not be shipping the available CL and RPG source with the CD. If you have any concerns please contact us.


Note, since the original release of the documentation, the following have been added. The changes are summarized below for easy reference.

  • The linking reports will mask the SS# number and print only the last 4 digits
  • Collector goals - System will compute the number of days left in the month and show the required totals per day

As with other updates you will not be forced to make any changes as soon as you install the update. You can set up and start to use the new features any time after you have installed Version 8.2. As with other major updates you will not be able to go back to a prior version of Intelec without restoring your prior data. We have an excellent record of software updates and are only really concerned about changes that our clients may have made though 3rd party technical services.


New and exciting is the first of several Training Modules available on our web site. As of February 2007, Quantrax enhanced support by adding the first Training Module for collectors. Please visit the client section and review our “Introduction to Intelec for Collectors”. We have also updated the "Knowledge-base" from the client section of our web site. We will continue to add text, audio and video to the knowledge base. In addition, we have significantly enhanced the field-level help for the system adding help at the menu level, sub-levels and field levels including the 8.2 features.


  • Bankruptcies - When an account is presented and it has bankruptcy information stored on the account or one of its linked accounts has bankruptcy information, a warning message window will appear on the first detail screen indicating that a “Possible Bankruptcy". This warning is displayed the first time the debtor's account is accessed. The matching is done by the full SS#. In the future it is possible that you may only have the last 4 characters of a SS# at the debtor level or on the bankruptcy data. We will in the future, provide support for this set of circumstances too.

    Currently, when you take option 8 from the Tab-Q option, there is no standard format for displaying bankruptcy information. We have changed this option so that if the debtor has a SSN and we are unable to locate a match in the bankruptcy file, the accounts are presented by SSN in numerical order. If the debtor does not have a SSN, then the accounts are presented in alpha order.

  • A fax number field has been added to the attorney screen (F2) and the legal Information screen (F24 off of F6).

  • A user can delete all the information in some of the Account Inquiry screens just by pressing the F20 (Delete option).

    We have added warnings for following screens when the delete option is requested.

  • If an ACat, QCat or Account Status code is changed manually or through a Smart Code we will add the old code to the notes.

  • We will now display the case number on the “Account Notes” (F11), “Notes-extended format” (F9 off F11) and the “Audit notes” (F10 off F11) screens.

  • Presently even if the user is setup as a “collector” in system security, they are allowed to add account notes through the special notes (F6 off F11) screen.
    We now stop collectors from adding notes from the special notes screen. This security is applied only for the users that have “Y” in the “User is a collector (Y,S)” in the system security.

  • What happens when you have important information about an account that you want a user to see each time them view an account. That information would probably be on a user-defined window. A user-defined window can now be set up (at the client level) to be presented to the collector when they access an account through account inquiry. The field on he client master is called “UDW to be displayed when account is presented”.

  • Direct checks - When a direct check is entered on an account and "automatic extension" information is added (set up more payments after the 11th), a note is added. The note reads “dc D Ck 50.00 on 99/99/99”. The note text has been changed to read “D Chk-Extension added”. This will indicate that the extension was set up. When the extension takes place (say 11 payments later) the note will say "D Chk - Extended".

  • UB92 screen - On the UB92 screen, if you entered new revenue codes and forgot to use F12 to update the data, you lost the information. Now, you will see a warning screen and will have the option to go back and update the data entered. Not all of the data is saved (on the other screens). But the revenue code information is saved. You can ignore the warning and proceed if you are only doing an inquiry.

  • Collector goals (Added 03/17/07) - The option that shows collector goals has been modified. The system would allow you to enter the number of work days and calculate the daily goals. Now, we will compute the total remaining days in the month (as long as you are in the current period as defined in the System Parameters). The number of days will be displayed and the calculations done. You can change the number of days remaining if needed.

  • Letter history (Added 05/26/07) - There is a new letter history for the selected account or the primary. This can be accessed from the additional notes option (F9 from the F11 notes screen)

  • Tab-Q for credit cards (Added 05/26/07) - We did not highlight the Tab-Q area when there was credit card information. We do that now.


  • On a Smart Code you can remove description codes. Sometimes, you may want to remove many different codes, more than we allow for. We have a new feature that allows you to set up groups of description code. A group code can be set up to reference up to 20 description codes. This option to set up the "Description code groups" is on the system control menu for description codes. Within the back screens of the Smart Codes, in the area for removing description codes, you will see the new option for the description code group to be used. The smart codes allow you to remove description codes based on the new group code.

  • Presently, a commission rate can be changed to the Return Mail Rate (client master or fee code) when the account's address is changed through the Return Mail entry option. We have added the ability for the Return Mail Rate to be applied when an address is modified through Account Inquiry too. If the Mail Return rate is defined using the Fee Code or client high rate (at the client level, there is a field called “Use Skips, Fwd, Legal (Y)”. This is an important change because fees will change. The change is not automatic! You MUST set up the client master to activate the new feature. In the area “Use Skips, Fwd, Legal (Y)” a 4th field has been added "Add Chg". This option must be set up to use the new feature. The field is checked and the high rate from the client master OR fee code is applied when an address is changed. What is an address change? This is important, because we do not want the fee changing because a collector changed the spelling on address line 1 or changed "Road" to "Rd". A change of address through account inquiry is defined by the change in the of the street address (first 5 characters ONLY), the city, state or zip code. We will give you a program to call, to change all clients based on the new option.

  • Currently, when a "Y" is entered for "Create 1 file per credit reporting agency" through the Metro2 Credit Reporting option (menu option 1-21-7-2), the system will create files for all four credit bureaus listed even if there is no agency identifier in the field. We have made a change to only create a file if there is an identifier for the specific reporting agency. The files created can be quite large and may not need to be run. In addition, at the client level, you can now stop creating credit reporting files (for a client who may say "Do not report my accounts to Equifax"). At the client level, you will see the option ‘Stop EQ/EX/TU/IN files (Y) _ _ _ _’ where you can stop any or all 4 of these files from getting created for this client.

  • Activity dashboard - We have many different reports and screens that display different information on user productivity. We have given you many interactive features in recent release and now have a new feature that will start with a high-level view of your production and results on a single screen. You will also be able to drill down. The information will be available for the current day and up to 30 previous working days. The new option is accessed from the Smart Code / User Audit options. You can also get to it from any menu, using "EX" from a menu. This was designed as an abbreviation for "Executive options" and will contain key management inquiries and will work provided the user has access to the Management Menu or Collector Reports from the "Areas" within System Security.

    When take the option is selected, the following screen will be displayed. Information is displayed by User ID.

    The “Worked” field will display the total number of separate debtors that were accessed by the user. Positive contacts and RPC's will be separately identified.

    When user press the F6-Expand Worked function key the system will display a break down of all the smart codes (A-Attempt, C-Contact, P-Positive contact, N-Negative contact and O-Other) that were applied by a user.

    The “Promises” field will display the total number of promises that were set up by the user.

    When user press the F8-Expand Promises function key the system will display a break down of all the promises (Post-dated checks, direct checks, promises to pay, linear and non-linear payment arrangements).

  • Scripting - There is sometimes the need to organize and display information on more than a single script. We have added the ability to link scripts. When you define a standard or Smart Code script, a “Follow-up script code” is available so that after the original script is displayed, the “Follow-up script code” is presented.

  • Management menu - We consolidated some options on the management menu and made some other changes.
    • Option 10, Collector work groups, has been replaced by "Collector set up / analysis options". Within this you will have collector work groups, collector reassignment (is also on special options menu) and the daily collector activity summary (Option 19).
    • Option 14, Account Processing Review, has been merged with Account Processing Reports (Option 12)
    • Option 16, Special clients for account processing, has been merged with option 12 (Account processing reports)
    • Option 19 will be called "Other management options" and will contain the processing log, sales information, I-Score options and skip-tracing options.

  • Special transfers - We have added some new selections to the “Account processing - Special transfers” option. You can specify Client Group number, Collector reporting group code, Internal score range, External score range, number of attempts or number of contacts.

  • Credit card payments - Currently, collectors can set-up a credit card to be used against a payment arrangement (through the credit card screen). However, some clients may not want collectors to setup credit cards to be used for payment arrangements. There is a new option on the Company Information screen to disable this feature - “Stop automatic CC option for P/A-Y”.

  • Client update - Client address changes will now be logged in the client notes.

  • Letters - There are a few changes.
    • When the nightly process prints letters, some letters get rejected due to various reasons and the failed reasons will be printed in the Letter Failed Report. We will now add the failed letter code in the account notes and the reason to the Audit notes.
    • In addition to the above, we will on the letter code system control file, give you the option to apply a Smart Code if a letter fails for any reason.
    • Presently, letter text is set up within Intelec. We will be allowing users to create a letter text (with merge codes) in a “word document” and import it into Intelec as a letter format. This is a powerful new option that will also allow you to update existing letters. In this case, the format from Intelec is converted into a Word document and you can make the changes and automatically update Intelec!

  • Limiting the number of direct checks by state - Some states like Massachusetts will only allow one direct check to be queued for processing. To accommodate this requirement, the state system control option has been modified. A new field at the state level has been added. It is “No post-dated checks (N)” and we will use the field to monitor the system so that only one Direct Check/Post Dated Check is entered on an account. We allow possible value for this field as N or 1.

    N = Will not allow any post-dated checks or direct checks to be entered.
    1 = Will only allow one direct check to be available at any point in time and this will only be applicable for direct checks. But any number of post-dated checks can be entered through the post-dated check entry module.

    We have modified the Direct Check Entry screen to look at the state system controls. We will cross reference the state information for the debtor with the new field at the State level to accept only one direct check if there is a value of “1” or to not accept the entry if the value is “N" in “No Post-dated/Directs Checks” field.

  • Quick view option - On this option, there is a new function key (F2) to show the time elapsed since the last account was worked.


We have added several options to enhance the ability to manage phone numbers within Intelec.

  • Presently, users can set up any alphanumeric value as a phone code through the Tab+ window. However, the system defined phone codes H/h, W/w and C/c are reserved for home, work and cell phone respectively. If the user is on I-Tel, the system has a separate system control option to maintain valid phone codes and this can be accessed through the menu option 2-15-6-1. In this version we will validate an entry to the Tab+ screen to allow only valid phone codes to be entered along with the phone number if the user is on I-Tel. The system will validate the phone codes entered through the Tab+ screen against the phone code system control file and give an error message to the user if the phone code is not set up in the Other Phone System Control File.

  • Sorting within the Tab+ screen is now available. Collectors can now sort phone numbers by phone codes. A “Sort by code” field in the Tab+ screen has been set up so the user can enter the phone code needed. Within the phone code the information will be sorted by the phone number and position the first number with the given phone code as the first record of the Tab+ phone code list. If you select a sort by code of "H", you will see the H's followed by other codes I, J, K etc. C will not be shown since it is lower that the starting code of H.

  • Retrieving phone numbers from the Tab+ screen - Presently, when an account is worked and a phone number is removed, the system will search the links and "bring" a new number into the home or work number, if a good one was found. If, for some reason, an account does not have a home number and there were numbers in the Tab+ (perhaps the home number was removed by a Smart code), what happened? Presently, nothing happens. We should notify the user that other numbers exist. In such a case, we will now automatically display the Tab+ window to the user. To move a number with any phone code into the home phone field, the user will only have to enter a + in the phone code field. The number will be copied into the home phone field. This option has to be activated in the company information system control file. The new option is “Prompt Tab+ when no phones (Y)”.

  • This option leads to another interesting feature. What happens when you have the system remove a phone number through a Smart Code (maybe a bad number off a dialer campaign)? The account may not get to a collector depending on how the system was set up. What if you had 4 other possible home numbers in the Tab+ window? True, you can create I-Tel dialer campaigns from that data. But why shouldn't the system automatically bring a new number into the home phone field, so that the new number could be tried the next day? This would mean that all 4 other numbers could be dialed without any operator intervention. We will add a new option "Tab+ (Y)" to the right of the option to remove phone numbers from the Smart Codes system control file. When a number is removed by a Smart Code, the system will check and bring a new number from the Tab+ screen (Type H only) into the home phone field.


As the product grows, enhancements to the knowledge base will become more strategic and creative. These options will give you the power to do some very difficult things, along with the opportunity to take automation to new levels. We hope you agree with what we have done.

  • A smart code can be set-up to duplicate the standard note on the linked accounts by using the option “Duplicate for other cases (Y, C, A). The user can either select “Y” to duplicate through all the open accounts or “A” to duplicate through all the open and closed active accounts or “C” to duplicate through all the open and closed active accounts belonging to the same client#. We have added a "G" for ‘SAME GROUP’ to this feature which allows duplication through all the open and closed active accounts belonging to the same client group.

  • In Release 8.1, we modified the smart code X-logic to be able to check for the existence/non-existence of a cell phone number. We have expanded this to include ‘linked accounts’. So, on the X-logic screen, under Linked Accounts, the option ‘Phone# exists on one account (Y, N)’ includes checking for a cell phone too.

  • When a smart code is disabled, a message is sent to the INTELOPR message queue. Now we provide a method of sending this message to one or two users other than INTELOPR. In Company Information, you will need to add the User ID for the person that needs to also receive this INTELOPR message.

  • The age code in a smart code allows for 7 different methods for selecting the age of an account. We have added an 8th that allows the smart code to look at the age of the oldest open account. So, the age of the oldest open account can be compared to the value placed in the AGE field.

  • The Smart Code field “Smart Codes needed” allows up to 5 Smart Codes to be entered. The smart code can then see if those smart codes were applied to the account when making decisions. We have enhanced this feature in include a specified number of days within which those smart codes were last applied. We have added 5 fields ‘Applied within days’ for each smart code. The number of days will be calculated based on the current date. If the “days” field is left blank, then the system will ignore this rule and check if the smart code was applied to the account. Note that you could get different results when nightly processing is running, depending on whether the smart codes were processed before or after midnight.

  • Clearing phone numbers through a smart code is available through the option “Clear phones (H, W, B, O)”. However, this option only checks for a home and/or work phone. We have changed this option to include cell phone. This option now shows “Clear phones (H, W, C, B, O, A)”.

    H = Clear home phone number only
    W = Clear work phone number only
    C = Clear cell phone number only
    B = Clear both home and work phone numbers
    O = If one phone (home, work or cell) number is does NOT exist then remove the other phone
    (home and/or work and/or cell) numbers as well
    A = Clear ALL - home, work and cell phone numbers

    There is an additional option that relates to this feature, described within the "Phone number management options". Please review.

  • The “?” LOGIC has been enhanced. The following fields have been added to further assist in the decision making process….

    • Has Credit Card information?
    • Has Skip Tracing information (does screen exist)?
    • Has attorney (F2)?
    • Has Legal information (F6 screen)?
    • Has cosigners (F10 screen or multiple cosigners)?
    • Has bankruptcy (based on full SS#)?

If any of the options are set up with a “Y”, the account qualifies only when the above information exists in the account. If any of the options are set up with an “N” the account qualifies only when the above information does not exist in the account. For the above, the field names begin with "HAS".

We have also added "Days since last letter sent". This field allows you to select the number of days since the last letter was sent. The number of days will be calculated based on the current system date.

Also added is "Phone code in Tab+". This field allows you to look for specific phone codes in the Tab+ screen. If multiple codes are needed, a space is required between each code. The system will then check the Tab+ window for any matching code(s).

We have created a new field name for the ?-Logic. It is ‘DOWNPAYMENT’. E.g. If a down payment amount exists for a standard P/A, and a different initial letter needs to be sent, you can isolate those payment arrangements set up with a down payment from the payment arrangements set up without a down payment.

All of these field names can be selected from the F1 list in the “?” logic screen.

  • The Smart Code code screens now have page numbers! (The X-logic and the ?-logic screens are not numbered)

  • We have given you the ability to apply a smart code when a collector views an account on which they are not the owner, worker or split collector. To activate this feature, go to Company Information off of the System Control menu to the field “Smart Code for unauthorized acct. viewed”.

  • There are several options available in the system to apply smart codes based on circumstances. A smart code could be applied during different nightly processes, payment posting or through account entry. The User ID within the notes created is usually coded in some special way. For example, we have *CS for Contact Series (when a smart code gets applied through a contact series), *CL for client level and *SS for Smart Code Series. There were some inconsistencies in the naming logic. We will be correcting that in this version.

  • Sometimes a Smart Code decision is made but a note is not added into the standard notes. Under these circumstances, a note is added to the audit notes. If a decision line is met, it is not clear as to what that decision was. The decision line number has been added to the audit note. e.g. You may see “Smart code applied – 10” where 10 is the action line that was met and used when the smart code was processed entered.

  • We have some exciting options that will help with advanced work flow management. This addresses some unique needs. What if you want to apply a Smart Code in the future? The method you had was to create a delay (using a Contact Series or Smart Code Series) and then apply the smart code at the appropriate time. This was not what Smart Codes Series were created for, although they have been used in that manner in the absence of any other option. What if the system allowed you to apply a Smart Code 5 days from now?

    At the Smart Code level, we will now give you the option to apply a different Smart Codes a defined number of days in the future. So, Smart Code 702 (Debtor has insurance) could be set up to apply Smart Code 703 (Check if insurance was verified) 5 days from now! Note the lower part of the following screen.

    In addition to this, we will allow you to use similar thinking in the Account Audit. Presently,
    the “Account list for audit” option allows for a Smart Code to be applied to a selected group of accounts in real time. We have enhanced this option to allow the smart code to be entered at a future time and date. when that date and time is reached, the smart code will get applied to that specific group of accounts. The system will check for smart codes that should be processed when the Smart Code processing program is running in the background and during nightly processing

    From the audit option, F5 to apply a Smart Codes, there is a new field “Apply in future (Y)”. When you enter “Y” in his option, a new window will pop-up where you can enter a time (military time) and date. A current/future date can be entered without a designated time. If the “Apply in future (Y)” field value is left blank the Smart Code will get applied immediately.

    How do you remove Smart Codes that are waiting to be processed? You do that through a Smart Code too. There is an option "Remove all future S/Codes". If the same smart code applies and removes future smart codes, the removal options are run before the "Add" options.

    And how do you view and pending Smart Codes for future application? Since this is closely related to applying Smart Codes, we allow you to key in ?F in the Smart Code field on the account detail screen! This will display a window with the pending Smart Codes in date sequence.

    And how do you know there are pending Smart Codes on an account? Go to the second detail screen (F10). Smart Code Series are about applying Smart Codes in the future. That would be the appropriate area to indicate that there are pending Smart Codes. To the right of the first Smart Code Series date field (usually blank if there is no Smart Code Series) we will show ++ if there are any pending smart codes to be applied in the future.

  • A new option has been set up within the " Multiple Smart Code" feature to allow you to apply smart codes from an external file. We have added Option 6 to be able to apply a Smart Code to the accounts set-up in the user file. The ‘user file’ must contain company, case number and Smart Code in a PC text file. You will be able to provide a file name for the file that needs to be accesses (either an iSeries file or a a document on a folder).

  • We have made changes that will help Smart Codes to be processed faster, whether it be during the day or in nightly processing. During the day, you may apply a large numbers of Smart Codes and you may wish to know how many remain to be processed. We have added a field "Smart Codes to be processed" to the management and system control menus. This will show just above the area where you enter a menu option. You will need to press ENTER on the menu to get the latest information.

  • Related to the above, one of the areas that can consume processing time is the Smart Code series processing during nightly processing. The greater the number of accounts selected, the longer the process can take. To help understand what happened in that process, INTELOPR will have a new message displayed during nightly processing. It will now show the number of debtors that have been selected to have a smart code applied to the account. (Linked accounts are not counted, only the accounts selected with a Smart Code series) The message will read “Accounts processed in S/C Series ______”.


  • We have developed a new user activity log. This log will maintain details of the menu options accessed by a user. The log will show details by date and time. The “user activity log” can be deactivated for selected users. A new field is located at the System Security level to control this feature. It is “No activity log (N)”.
    A purge option is available so data can be removed from these logs as needed. At this time, all options can be accessed from within the system security in the system controls. The display of the new log can also be accessed from the "Executive options" menu (EX from any menu). The new log can also be displayed from the "Smart Code / User Audit options" (Option 80).

  • Changes to security profiles are important and we will be tracking these changes through a log file for changes to System Security. The objective is to allow you to check how the User ID was set up before it was changed and what it was changed to. At present there is no facility in Intelec to review the previous images of an existing User ID. To overcome this issue now we maintain a file to store the previous image of a User ID together with the last changed date, time and the User ID. This log file includes all the fields that could be setup within the User ID. At present the ENTER key will update the system security information. We will be changing this to use F12 for update. We are only setting up the logic to track the changes. The inquiry feature will be available in a future release.

  • By default, the system currently gives *SAVSYS special authority to all the users created through the system security option. We have changed this to include only users who have authority to start the nightly process. Therefore we have set up a program to remove *SAVSYS special authority from the existing Intelec profiles (User ID’s) who are not set up to start the Nightly!

  • We have done something that was quite complex. We will now be encrypting the social security number of a debtor. Only valid programs will be able to read and change the encrypted information. Once encrypted, the social security number information in the account master file (SCACCT), the DFU's and queries will not display the stored information in any readable format. We will still allow you to search by SS#.

  • Masking routing and account numbers in the notes - If routing numbers and account numbers are changed and are dropped into the notes, we will always mask the first few characters of the number and show only the last few numbers. Once information has been entered, we will not allow a user to be able to view the complete routing number or account number . We will always mask the leading characters. For users who need to see the complete number, you can go to System Security and place a "Y" in the field “Show sensitive info”. This same field will be used to mask credit card numbers on the credit card screen. Previously, the masking was done based on whether the user was a collector or not.

    With regard to credit cards, if the user does NOT have "access to sensitive data", a message will be displayed (Credit card information exist and can not be displayed). The last 4 of the credit card number will be displayed on the screen.

  • Masking the social security number info in the 1st & 2nd account detail screens - We will now mask social security numbers on the 1st and 2nd account detail screens. We mask the first 5 numbers of the social security number. To display the full number, go to System Security and place a "Y" in the field “Show full SS# (Y)”.


  • Presently you are able to select only primary balance, or select primary and interest for the settlement calculations. We have options to use the total reportable balance or the total balance on the account. The "Include interest" field now support "R" for reportable balance and "A" for all balances.

  • There was a request to allow collectors to see the “Settlement Analysis”. This settlement analysis is an option that will be developed in the future. At present only non-collectors can access the “Settlement Analysis” through the Account Inquiry “settlement letters” option (Tab-Q #10). We will create an option to allow any user to access “F11-Mgmt” option and review the Settlement Analysis details based on the set up in the client master.


Just as you thought we could not do much more with this wonderful feature, we have found ways to add more options. We have added new features for the following areas. Some of these options are accessible through the F2 screen (additional selection options) once a client or worker has been entered.


  • Status code - Up to 5 account status codes can be included or omitted from this selection. If the field is ‘blank’, then either all status codes are included or omitted. If the Include/Omit field is left ‘blank’ then the “Status Code” is ignored.

  • There was an option for legal accounts on the original selection screen - We have changed this to include more selections. Based on the additional selections we have changed the existing parameters to “Legal (I/O, L/P)

    The new selections are as follows:

    I and blank L/P – Include all legal and pre-legal account
    O and blank L/P –Omit all legal and pre-legal accounts (i.e. select only non legal account)
    I and L – Include only legal accounts
    I and P – Include only pre-legal accounts
    O and L – Omit only legal accounts
    O and P – Omit only pre-legal accounts

    If Include/Omit field is blank or both Include/Omit and Legal/Pre-legal fields are blank then the system will ignore this selection.

  • Smart Codes needed/not needed, within (days) - We have added a new selection to check whether a specified Smart Code has been entered on an account within a given number of days.

    The new selections are as follows:

    • If the "Smart Code needed" field has a code but the corresponding “within (days)” field is blank, then the system will check if the Smart Code was entered on the account at least once on any day to qualify. If the "Smart Code not needed" field has a code but the corresponding “within (days)” field is blank, then the system will make sure the Smart Code was not entered on the account.
    • If BOTH the Smart Code Needed and the corresponding “within(days)” field have values, then the system will check if the Smart Code was entered on the account at least once within the specified number of days to qualify.
    • If BOTH the Smart Code NOT Needed and the corresponding “within(days)” field have values, then the system will make sure the Smart Code was not entered on the account within the specified number of days.
    • I If both the Smart Code Needed and within (days) fields are blank, then the system will ignore this option.
    • If both the Smart Code NOT Needed and within (days) fields are blank, then the system will ignore this option.

      Note: the within days will be calculated based on the current system date.

  • Follow-up (Y, F, P, N)

    We have added new selections regarding follow-up dates.
    The new selections are as follows:
    Y - Include accounts with any follow-up date
    N - Omit accounts with follow-up dates
    F - Include only the accounts with future follow-up dates
    P - Include only the accounts with past follow-up dates

  • In work queue (Y) - We have added a new selection to check if the account is in today’s work queue to qualify.

  • Phone exists (Y, A, C, N, +) We have changed the existing “Phone exists (Y, N)” field to have more selections available. Based on the additional selections we have changed the existing parameters to “Phone exists (Y, A, C, N, +)

    The new selections are as follows:

    Y - Include only the accounts with either home or work phone
    A - Include only the accounts with a home, work or cell phone
    C - Include only the accounts with a cell phone
    N - Include accounts without a home, work or cell phone
    + - Include only accounts with capital phone codes in the Tab+ window (excluding H, W or C)

  • Primary only (Y, L) - We have changed the existing “Primary only (Y)” to allow one more selection. Based on the additional selection we have changed the existing parameters to “Primary only (Y, L)"

    The new selections are as follows:

    Y - We still look at individual accounts to see if any of them meet the selection criteria specified. If they do, then, the system will only show ONE account on the list, the primary account. Note that the primary may not itself meet the selection criteria. The selection (including balance range) will check each account within the linked accounts, but if even if multiple accounts qualified, only the primary will be displayed.

    L - The selection will also look at all the linked accounts and see if any of them meets the selection criteria, just as with the "Y" option. Only the primary will be displayed. What is the difference betweenn this and the "Y" option? For the balance, the linked balance is checked and will be also shown on the screen if the account is selected. Be careful if you use the new sub-list option with the L (or Y) options. The system will only look at the primary account since the others were not selected.

    The help text has additional details on these new options.

  • In contact series (I/O) - We have added a new selection to check if the account is in a contact series.

    The new selections are as follows:

    I - Include if the account is in a contact series
    O - Omit if the account is in a contact series

    Note: We consider the selection based on the contact series sequence. If the sequence is less than 9 we consider the account in a contact series.

  • In Smart Code series (I/O) - We have added a new selection to check if the account is in a Smart Code series.

    The new selections are as follows:

    I - Include if the account is in a Smart Code series (1-6 is considered)
    O - Omit if the account is in a Smart Code series (1-6 is considered)

    Presently, we only support 2 Smart Code series.

    Note: We consider the selection based on a Smart Code series sequence. If a Smart Code series is running and the sequence is less than 9, then we consider the account in a Smart Code series.

  • Decisions met on S/Code - The user can specify a smart code (We use this same selection and logic in the rule-based script setup). For the condition to be met, at least one line of the decisions must be met. This increase the selection flexibility enormously as you could select accounts based on the selections setup in all the Smart Code lines including the X-logic and the ?-logic

  • Split collector (I/O, code) - Accounts will be included or excluded based on the split collector code on the account.

    The new selections are as follows:

    I and blank code – Include accounts with a split collector code
    O and blank code – Omit accounts with a split collector code
    I and code – Include accounts with a specific split collector code
    O and code – Omit accounts with a specific split collector code

  • We now show the company code and the company name on the bottom left hand corner of the Account List of Audit screen.

  • We have changed the default option from batch to “I” (Interactive) for the “Processing type” field. If you run a job that involves a large number of records, we do recommend running the job in batch.

  • The “Reporting Group code” option has been moved to the new, second screen.

  • And if you thought that was a lot, we have another amazing new feature. Think about this. You want to target a group of accounts for a client. You enter the selections and the system selects 6000 accounts. That is too much. From that list, you only want to select the accounts that have had no contacts and have a balance greater than $600 from those 6000 accounts. How would you do it now? Not easy, is it? We have added a sub-list option to the account audit!

    You can select a group of account. then save that group and apply a different set of selection parameters against that group. This can be done over and over again. This new feature adds an enormous amount of possibilities to keep narrowing your search until you have identified a very specific group of accounts.

    To utilize this option go to the list of accounts from the first run. Then select F2 “Sublist” to run a new audit against that run. You can specify new parameters and create a new list. Now, in addition to the F2 “sub-list” feature, there is an option F1 “Back” to go back to the previous set of parameters, allowing you to revise your selections. If you want to make changes, you can only go back one step.

    Here is the screen you may have after the first selection.

    Note there are 76 accounts. Note the F2 - Sublist option. When it is selected, you would see the following.

    You are starting with the 76 accounts and can enter new selection criteria to further refine the list.


  • In Intelec, we usually enter the current date as the “payment date” when a payment is applied to the system. Sometimes the original posting date is not the payment date (direct payments). Intelec allows entering prior payment date through the payment entry program after a second confirmation from the users. However this may cause issues when you enter a date prior to the last statement ending date. We will give you a new field in Payment Entry option to enter an “Original posting date”. In this version we will only modify the database to capture the information. In a later version, we will modify the programs to close accounts (e.g. PIF) using the original posting date and reverse any calculated interest as required. We could also update statistics (e.g. placement history) based on the original posting date.

  • Intelec allows posting payments to the system with prior “payment dates” but only after a second confirmation is obtained. Posting payments with a prior date may cause serious issues when a date prior to the last statement ending date is used. As a solution to this issue, we have set up a new option at the company level to activate a payment date validation that will stop a payment from being posted with a date prior to the last statement ending date. It is “Stop prior payment dates (Y)”.

  • Balance adjustments (Payment types 41-49) can be entered by any user. We have enhanced this area to provide security at the User ID level to stop a user from entering a balance adjustment on an account. In System Security see the field “Allowed to enter Bal.adj (N)”.
    Is screen needed?

  • In payment entry, the operator can override which collector receives credit for a payment. This is accomplished by specifying the collector code in the field “Credit to Collector” on the first payment entry screen or in the account summary when applying the payment. A new field has been added, “Credit to Split” so the operator can override the split collector as well. Please note - If the split collector is not set-up for a split in the collector update, then we will print a warning message on the edit report.

  • Presently when you take the Credit card report option (menu: 3-6-5) it runs immediately and there is no option to go back or cancel the option selected. When you take the credit card report option we will now give you a warning window for the user to continue the process or cancel and go back to the menu


  • Client A/R inquiry - This allows for viewing accounts receivable information by client code or by client code range. We have now added the ability to view this information by date range (the date the statement was created). (Client statements menu, option 15)

  • The 2-year client analysis reports now include a salesman code field. You can add up to 5 salesman codes or leave the option blank for all. (Month-end processing menu, 1-3-2)

  • On the placement history by client type, we allow the client type to be selected.

  • File extracts - We have now added headers in the files that get created when the “File Extract option” is used. The report heading (extract name) and the column headings (from field descriptions) will now be included in the file. Any amount fields will be totaled and displayed at the end of the report.

  • Postdated check inquiry - On option 12 from the Smart Code / User Audit options, possible commission is now included, based on the commission rate only. Other factors are not considered.

  • Linking reports (Added 03/13/07) - The linking reports presently print information that can be a security threat (name, address, phone, SS#). For this reason, we have masked the first 5 characters of the SS# on the reports. The SS# will print XXXXX7787, as an example.


  • We have added new options to the Multiple user consolidation rules (Nightly processing) (Menu: 2-15-13-2) and to Multiple user consolidation rules by client (Nightly processing) (Menu: 2-15-13-7).

    • You can only select accounts with phones. To only select accounts with phones place a “Y” in the new field ”Accounts with phones only”.

    • The queue consolidation options give you a wonderful opportunity to automate queue and campaign management. Many of you will change these options depending on the day of the week. We have added flexibility to define when queue consolidations should be run. Presently, once you set up the option the system will select it and run the job daily through the nightly processing. We will provide the user with an option to set up specific days of the week on which the option should be run. To do that, we give you 7 new fields to enter “Y” for each day of the week covering Monday to Sunday (MTWTFSS). The day of the week is always considered based on the next working date (if the option is called as a part of the nightly process). If the option is run during the day, the new feature will be ignored even if it has been set up.

      If none of the 7 fields were selected, then by default, the system will run the option each day, during nightly processing. This is another example of Intelec allowing you to set it up and "let it run". Here is a sample screen. The new option is at the top of the screen.

    • Accounts can now be selected/omitted using a specific ACat code. We have added a new field to allow you to include or omit an ACat code through the field “ACat (I/O, code)”.

    • Another change is the ability to run Queue Consolidations in batch mode. This change will help reduce the CPW (related to interactive processor resources). This will help balance system workloads, allowing you to allocate interactive resources to the jobs that really need them (e.g. Account list for Audit or Multiple Smart codes). Queue Consolidations are available through the I-Tel Menu. Take option 13.

      For option 2 “Multiple user consolidation rules (Nightly processing)” - Once you take Option 2 and select the User ID needed, the bottom of the screen will show an option “F10-Run this consolidation now (update first)”. Take this option and then you are presented with a window asking you to specify “maximum number of accounts to select”. At this point, running the consolidation option in batch is now available - “F12-Run in batch”. For option 7 “Multiple user consolidation rules by client (nightly processing” - After selecting this option, the bottom of the screen will show “F10-Run now” and “F12-Run now in batch”.


  • A cell phone number can now be entered through manual account entry.


You will first need to determine what version of Intelec you presently are on. The current release is displayed when you sign into Intelec and get to the Main Menu. You must be on Version 8.1 to install this update.

IF YOU ARE NOT ON Version 8.1, do not proceed beyond this point.

You can install this update as long as no users are on the system. You can install the update at any time - at the end of a day (before nightly processing) or at the beginning of a day (after nightly processing has completed). You should have a backup from the last nightly processing that was run. There are no major file changes and a full backup is not necessary but is always recommended. The complete install will probably take around 2 hours. We will be changing the payment history file and updating the account master file for the SS# encryption. The install time will depend on the size of these files

You will receive 2 CD's - on titled BASE and another titled MODS. Please make sure you have both CD's before you start the installation.

You will first need the CD called MODS. We will need a dedicated system (No Intelec jobs running).

You should make sure that all users are signed off Intelec.

  • Cancel the Smart Code processing program.
  • If you have a dialer other than Intelec, cancel those programs.
  • If you are using I-Tel, end the dialer server.

For the following instructions, please remember to use "opt01" if you are using a CD and are prompted for the device name.

  1. Sign on with an Intelec User ID that gives you access to the command line (anything other than INTELOPR), load the CD titled MODS in the optical drive and get to a command line.

    Key in CALL INSTALLMOD and press ENTER. This job will take about 5 minutes. You will be signed off and will be asked to sign on at the end of the job. Sign on as QSECOFR.

  2. Now remove the CD titled MODS and replace it with the CD called BASE.

    Key in ADDLIBLE SCLIB from a command line and press ENTER
    Then key in ADDLIBLE SCMOD and press ENTER

    Key in CALL INSTALLNEW, press ENTER and follow the instructions. The device name should be opt01.

    This option will take about 5 - 10 minutes. At one point in the installation, the system will check that the library SCLIB is not in use and if it is, it will display any jobs that will need to be canceled. At the end of this step, you will be asked to have all users signed off the system.

  3. After Step 2 is complete sign off and sign back on with the User ID QSECOFR

    Place the CD titled MODS in the optical drive and key.

    Key in ADDLIBLE SCLIB from a command line and press ENTER.


    This step will take a few minutes.

  4. After Step 3 is complete sign off and sign back on with the User ID QSECOFR.

    Do not attempt to sign on with an Intelec User ID.

    At this stage, do not allow users to sign on. The rest of the installation process could take about an hour. We will be creating some new logical files over the account and payment files.

  5. Place the CD titled BASE in the optical drive and key in CALL INSTALLSYS. This step will take a very short time to complete.

  6. Keep the CD titled BASE in the optical drive and key in CALL INSTALLR82. Press ENTER and follow instructions. The job is submitted and will run in batch. This step could run for a few hours.

    Check that the install program is running by using WRKACTJOB. Once the job has started, you should wait about 5 minutes and can leave if there are no messages.

    This time taken for this step willl depend on the amount of data on your system, and your processor speed. An estimate of the time taken is between 1 and 3 hours.

    When this step is over, the installation of the new release is complete. You should check the job to make sure it has completed (WRKMSG QSECOFR) and use the WRKACTJOB command to make sure there are no messages.

    The completion message "'Intelec Release 8.2 has been installed" will be sent to QSECOFR and INTELOPR.

  7. After Step 6 has completed, you should run nightly processing if you installed the code at the end of the day. Otherwise, continue with your regular work.

  8. Please make sure that you send an e-mail to support@quantrax.com indicating that you have updated to the new version. This is very important.


There are some programs you may want to run after the conversion.

  • To change ALL clients to “Y” for he option "ADD CHG" for commission rate (client master) key in SBMJOB CMD( CALL ZUPFECHG) from a command line.

  • To remove *SAVSYS authority from users who do not have access to Nightly Processing, sign on with an Intelec User ID that has access to System Security and key in SBMJOB CMD(CALL ZRMVSVSYS) - It will remove *SAVSYS only if the User ID does not have *SECADM or *ALLOBJ authority.

  • The default is to hide the full SS# and and to not show the full credit card number, bank account and routing numbers. To display that information to specific users, you will need to set up the options to show the full SS# and display sensitive information in system security.

  • In Version 8.0 we started tracking bad phone numbers and also offered a "Phone search" which uses information stored in the Tab+ area. When you installed Version 8.0 or 8.1, you would have run a program that updated the TAB + window with bad numbers. This program read your notes file and ran for a very long time. We have made some changes to some of the programs that ran as a part of that program. The changes will read the new skip tracing screen and add any "CE" codes (Cell phones) to the cell phone field in the account. In addition, any possible additional debtor phones will be loaded as possible home phones into the Tab+ from the skip tracing screen (assuming they are not already there and marked as bad). This information is being set up as a part of the manual skip tracing that is done through Quantrax. The present programs will automatically update the Tab+ area when any new skip information is received.

    sbmjob cmd(call zcnvphm2cl)

    The job will be submitted and should not run for very long since it only reads the account master and skip tracing file. If you want to run this option at a later time, you can follow these same instructions. The program can be run at any time, but we suggest you run it when users are not on the system. You can have the Smart Code processing program running.
