Quantrax Corporation is pleased to announce the availability of
Intelec Release 7.1. The key areas that have been targeted are productivity for collectors and expansion of the intelligence of the system. Several other operational areas have also been enhanced.

With reference to increasing the productivity of collectors, we will be introducing I-Script, an intelligent scripting module. With reference to expanding the intelligence of the system, we will be developing the decision-making capabilities of Intelec to include many other fields. Another interesting development is a system to allow you to generate billing statements to a debtor! This will be a significant complement to the existing dunning features of Intelec. The rew update will create a new file that will take up some additional disk space (more than the usual changes we make) - We will be creating a new logical file against the notes file. The new file will take relatively little space compared to your master files, and unless you have any serious space problems, the creation of this new file will not adversely impact your overall system.

The following changes have been made. Please read the documentation carefully before installing the new software. Some of the links are best viewed at a resolution of 1024 X 768 or higher.


  • There is the ability to associate an "internal score" with any account. There is a user-defined 2-character field, and it can be changed through a Smart Code. Presently, Intelec gives you the ability to obtain an "external" score (such as those obtained from a Credit Reporting company) and to make decisions based on this score. With this new feature, you will be able to create your own "Scoring models" and sort a collector's accounts based on this score. The internal score is on the back screens of the Smart Codes. You can not make decisions based on this score - It was designed to prioritize a collector's work based on the score. The new "score" will be displayed (if it exists) to users other than collectors, at the bottom right-hand area of the F11 notes screen (Titled W/S for Work Sort field). The new sort option has been added to the QCat Codes System Control files. The sort order for the QCat (if specified) will be ascending order of the Internal Score. This means a score of 01 will be displayed before a score of 10. Accounts with no score will be displayed last. Alpha codes will be displayed before numeric codes.

  • Expansion of decision-making capabilities. Presently, decisions can be made based on many different conditions. With the X-logic in a Smart Code, this "thinking" ability is further enhanced. But what if you want to target debtors who are between 25 and 30 years of age? Or with a Social Security Number in a certain range? (This recently became a practical issue when tax refund checks were being mailed based on Social Security Numbers!) We will provide an extension to the X-logic, that will initially allow you to make decisions based on fields in the account master file. The selections will later be expanded to include special fields such as date of first contact, date of last contact, date of first payment, insurance information etc. The fields and the valid ranges are set up in a process similar to a Query selection.

    To access the "expanded thinking" options, you will use a "?" in the field that is used to enter "X" for the X-logic. This will take you to the X-logic window and it is when you leave this screen that new screen for the expanded thinking is displayed. The concept is similar to setting up a query.

    • You have certain fields that you can select and you can specify values for those fields.
    • Only certain "keywords" are allowed in the selection. E.g. AMTPLACED is placement amount, while CLIENTACC# is client account#. F1 will display a list of the allowed keywords.
    • You can "search" for a specific keyword by using F1 from the screen that displays the list of keywords. To use the search utility, you can key in a description, or search by special classification. Presently, there are two classifications - dates and amounts.
    • Amounts could be entered with or without the decimal point. E.g. 5000 or 5000.00 will be interpreted as $5000.
    • Non-numeric fields are entered without quotes or any other special characters.
    • Enter phone numbers without any special characters. For phone numbers, only the 10-character portion of the phone number on the account is checked (prefix is omitted). If more than 10 characters are entered within the Smart Code, only the last 10 are checked.
    • You can look for zero or blank values. Simple leave the value field blank.
    • Dates must be entered in MMDDYY format. A date of 01/15/02 or 011502 will be valid. The exception is Guarantor date of birth - This must be entered with the century. E.g. 01011990 or 01/01/1990.
    • Zip codes - You can enter 5 or 9 characters. System will check against the number of characters entered. You can also enter 7 characters, as is the case with Canadian Postal codes.
    • The common operators such as EQ, GT, GE, NE, LT and LE are available.
    • You can indicate whether multiple conditions must all be met (AND condition) or if it is sufficient to meet any one of the specified conditions (OR condition). If nothing is specified, AND (A) is assumed.
    • You can add, update or delete selection lines at any time.

  • Smart Codes

    • The logic for decision-making that looks at letters sent will now look at more than the first 3 contact series and first 6 selected letters. We will now consider all the letters sent on an account.
    • We have added tracking for the Smart Codes that do not create notes. You will now know when these Smart Codes were used! In addition, we will track the use of Smart Code overrides to help you know exactly which version of a Smart Code was used! Access to the new screen is on the F11 notes screen (F10 - Audit Notes).
    • We have added a field on the first screen of Smart Code details (to the right of the Smart Code) to show the last date that the Smart Code was used (applied). This is regardless of any overrides. The system will show the last date that any Smart Code (regardless of override code) was used.
    • The option to start the Smart Code Series has been changed to "Start or Resume" a series. The new field "Resume Series" if specified, will continue the series from the last completed step in the Smart Code Series specified. If the Smart Code Series on the account does not match the one entered on the Smart Code, nothing will take place.

  • Duplicate account checking - Presently, we look at account number, last transaction date and group number to determine if an account is a possible duplicate within the account load edit routines. We have significantly enhanced this area. There will be two new system control files at the client and group number levels that will allow you to set up special rules for duplicate checking. If the options are not set up for a specific client, then the standard duplicate checking is performed. The new options are accessed from the 3rd System Control menu. You will be able to specify which of the options - last transaction date, placement amount and checking within the client group number, should be used for establishing a possible duplicate. In addition, you can specify up to 3 additional companies and within each, a group number and/or up to 5 client numbers that should be checked for possible duplicates! This will add great flexibility for those of you who use Intelec in an early-out or pre-collect environment, with the multi-company structure.

  • Account Edits - On a prior release we added some useful summary totals to the electronic load edits. (Number of accounts with incomplete address, no home phone, no social etc.) This information has been added to the edits for manually entered accounts.

  • State System Control file - We realize the importance of being within the state guidelines for communicating with debtors and with this in mind, the following changes have been made.

    • We have added a second screen to the States System Control file. This screen will allow you to set up text that can be used on letters. Up to 10 fields of 70 characters, and 10 fields of 35 characters will be allowed. Merge codes are available and start at Q01.

    • We have created the ability to provide detailed warnings at the state and area code levels. At the state level, you can indicate whether the special warnings should be utilized - there is a new field on the States System Control file called State/Area Code Warnings. This will need to be defined in order to make the warnings display when an account is selected. Warnings will only be displayed to those users set up as "Collectors" in System Security.

      • Once the option has been set up on the State System Control file, you will need to set up the warnings to be displayed. These options are presented on a sub-menu when you exit the State System Control option.
      • You can select the State Code or Area Code warning option and define the messages to be displayed. Remember that it is possible to set up both state and area code warnings. If both warnings are applicable when a particular account is displayed, the information will be merged and displayed on the warning window when the account is presented.
      • Enter the state or area code and the warning information.
      • There is a search function and a a function key to delete information (F4)

    • We have added two fields to the State System control file - a time before which and a time after which an account should not be automatically presented in a queue. If these options are set up, the system will not present accounts if it is not the correct time to be working them. The account is temporarily bypassed. This means that a user could get to then end of the accounts in a QCat Code before all of the accounts have been worked. When the message that the end of the queue has been reached is displayed, the number of accounts bypassed for the QCat and selection is also shown. That total is also broken down by the number too early to work and too late to work! The user can come back to the QCat at a later time and the accounts that were too early to work could be worked at that time.

    • We understand that it is possible to have a license to collect in a specific state, but that some zip codes within that state may need a separate license. We therefore need additional control based on zip codes. We have a new option within the menu that is presented after you exit the State Options System Control file. Option 3 allows you to define zip codes that can not be worked. You can define a Smart Code to be applied during Nightly Processing for new business or address changes, if the zip code is one of those specified on the new System Control file.

  • Letters - We have added the ability to apply a Smart Code when a specific letter is generated. The option is on the Letter Codes System Control file. Note that while the Smart Codes will be applied during Nightly processing, if the Smart Code generates an additional letter, the letter will be created the next time Nightly Processing is run.

  • Collector and client update

    • In a multi-company environment, the same client or collector may exist in different companies. To access the information stored across companies, the user has to exit the programs, change companies, and then return to the program. We have added a company code to the selection screen. This will allow different companies to be accessed without leaving the program. The inquiry programs have also been enhanced.
    • The address, phone number and group number searches (were available in client inquiry) have been added to the client update.
    • The last placed date has been added to the first screen of client update.

  • Duplicating client information - This feature should be used a great deal! From the client update screen, we have a function key to duplicate information on the other clients within the group. Several fields such as address, salesman code, statement information, contact series, etc. can be duplicated. When standard reports are selected, e-mailing options are also duplicated. The existing information is displayed and the user can select what is to be duplicated.

  • Security - As we plan for the implemantation of HIPAA, we have made several changes in the area of audit and security.

    • We have a new feature to you allow you to restrict a user's access to different areas of the system. In System Security, a second screen has been added. This will allow you to specify that some areas should not be accessible to that user. At this time the options are the insurance screen, medical information (F6 from the insurance screen), the UB92 screen, 1500 information, credit reports and bankruptcy information. The required screens will not be displayed if the user has no access the the area. A message will be displayed (may not happen if the user has multiple sessions).

    • In keeping with some of the audit requirements, a note will be added when 1500 or UB92 information is viewed.

    • One of the key issues we need to address is unauthorized access of medical records. What if someone displays a UB92 screen and walks away from their terminal? While your internal procedures should cover this, we will also do our part. If a user does not actively do anything on a 1500, UB92 or medical information screen for four minutes, a message will be displayed, asking if they want to continue to display the screen. If they do not respond to the message within 15 seconds, the system will automatically take them back to the insurance screen!

  • Sorting of QCats for Account Processing - We have added an option to sort a QCat by the last transaction date on the account.

  • Purge Inquiry - We have added a search by Social Security#. In addition, we will use the social security number to help you identify the existence of purged accounts that have the potential to pay, when payments are entered for active accounts belonging to the same debtor! The system will match accounts by Social Security number and print a warning on the payment edit, indicating that purged accounts exist. Only purged accounts that have not been reopened, were not paid in full, and were closed with an active close code are considered. This may help you collect more money!

  • Backup - In the nightly backup, we have made a change to also save the Intelec program libraries. Today's tapes are of significantly higher capacity and this change is timely, because if you have a system failure, you will have everything you need to recover quickly. We have had clients who failed to take a backup of the program libraries, and this has resulted in significant recovery issues. The change should not have an impact unless you have an older tape drive whose capacity is very limited. If this is the case, we can make a change for you.

  • Smart Codes - Accessing last screens. You can now go to the last screens (F11) from the first screen of the Smart Code details, if the Smart Code exists.

  • Payments for the month (Added 06/13/02) - How easy is it to obtain a list of the payments for the month, showing a total for each day? Right now, it is not easy! A new option has been added to the Payment Reports for a Period and Company Statistics options. This will allow you to select any period (or the current period) and will display payments and commissions by day! A running total is also displayed. This will allow you to easily compare June 10th 2002 with June 10th 2001. Payments will include overpayments, and both reportable and not-reportable transactions.

  • Payments by Collector, Daily Reports (Added 06/18/02) - We have added the message "Purged account exists" to these reports. The logic is similar to the Payment Edit change. (See "Purge Inquiry" change above.)

  • Smart Codes (Added 12/07/02) - A new screen has been added to the options available. New features added are as follows :

    You can now create 3 lines of "Report Description". At the present time, this information will only be printed on the "Smart Code Warning and Print reports" generated during Nightly Processing.

    There is a new option that will allow you to clear the home, work, or both home and work phone numbers.

    If an account is worked by someone other than the owner or worker, you now have the option of specifying an "Immediate transfer" to the owner or worker on the account!

  • Smart Codes (Added 01/17/03) - The option to move the User ID (person working account) to the split or owner has been expanded to allow the User ID to be moved to the worker code.

  • Smart Codes (Added 01/22/03) - There is a new option on the X-logic to check if a post-dated check exists for the debtor or not. You can verify if there are checks or if there are no checks.

  • Expansion of decision-making capabilities (Added 02/18/03) - In the expanded logic, you could check for a description code. You could use this with the different operators such as EQ, GE, NE etc. There was, however, no easy way to have the system check if one of several different description codes existed on an account. As an example, you may have wanted to check if the QCat code was 301 AND the description codes 43, IN or 87 existed. You can now do this checking by coding all three description codes in the 'Values" area. You must enter the three description codes separated by one space. This logic will always be interpreted as an "OR" condition. Since the "Values' field is 25 characters, you will be able to enter up to 8 description codes in this field

  • Working in different times zones (Added 03/01/03) - Some of our users have collectors who use Intelec in different time zones. In these cases, the users do not see the actual time in their time zone, but are shown the "system" time on their screens. We will now allow you to associate a "time offset" at the collector level (We will always assume that the place the account is worked from can be determined from the owner code on the account). The time offset is specified on the 2nd screen on the collector information in the format T+ or T-, where T is the offset in hours. If there is no offset the field should be omitted.

  • Collector re-assignment from Work Queues (Added 04/06/03) - You can now omit up to four ACat codes. This works by the system looking for the specified codes on any of the linked accounts.

  • Collector re-assignment - Standard option (Added 04/10/03) - You can now include or omit up to four ACat codes and QCat codes.

  • Smart Codes (Added 03/10/03) - An "A" in the "Follow up" field on the back screen refers to a payment arrangement. If this code is set up, the payment arrangement screen (F9 screen) will be automatically presented after a Smart Code with that option has been entered.

  • Smart Codes (Added 06/17/03) - Every time a smart code is applied, the system will check if there is at least one open or closed active account in the linked group. If this is not the case, the system will delete any post-dates, direct checks and payment arrangements that exist for that account - Since there is no balance, this information is no longer applicable. Notes are added when the information is deleted.

  • System Security (Added 06/17/03) - Presently a disabled user profile can only be enabled by someone who has access to the areas Security and the Control files (and the System Control menu). We will now allow a manager to enable a disabled user profile! First, you will need to set up the manager with the option "Allowed to create a user" defined as a "Y". On the Intelec System Security screen, you do NOT have to give the manager access to Security or Control files (within the Areas) or to the System Control Menu. When the manager goes to Collector Update, accesses any collector code associated with the user and updates the information, the User Profile will be enabled!

  • Sorting QCat Codes (Added 10/02/03) - An option "W" has been added to sort accounts based on age from placement, newest accounts first.

  • Syetem Security (Added 10/14/03) - Presently if a user is allowed to close accounts (System Security), they can also change collector codes, worker codes etc. We have changed the logic to allow a person to change collector codes without being able to close an account! If a user has access to Collector Updates or the Management Menu, they will now be able to change collector codes. If they are allowed to close account, they will automatically have the ability to change collector codes.


Intelligent Scripting (I-Script) will take this system to new levels of productivity. Most of you are aware of scripting that is associated with a dialer. We feel that our design has taken the concept of scripting to a new level. This is because traditional scripting only looks at the basic account and some client logic to produce a script. That script is usually predefined and can not be varied based on the circumstances associated with the account. With I-Script, the system will literally build a script after analyzing the account and picking out what is important, just as a collection expert would. In the design of this module we considered flexibility at the company, client, user and account levels. The skill level of the user must be used to determine what level of assistance the system should offer. Similarly, we need the flexibility to handle different clients using different methods. This is not a simple feature to set up. But neither is the concept of intelligent scripting. Once set up, this feature has the potential to improve productivity in a manner that no other change in the industry has been able to, in the recent past. The potential returns are enormous. Please review the documentation carefully and plan your strategy prior to setting up this feature.

Here is an example of an "Opening script" that could be presented to your collectors.

    • There is a setup option where the options and rules for scripting can be defined. The option is 11 from the Management Menu. When this is selected, you will see the options for Company, Users, Scripts and Rules. To activate scripting, the Company options must be set up. The User options allow you to specify some special rules for individual users, if required. It is not necessary to set up users within the I-Script system, unless you want to use the special options. Within the Scripts option, you will be able to key in the text of the scripts that are to be displayed. The script can consist of text and variable data that is obtained from the system. The concept is similar to letters, where you set up text and Merge Codes. Unlike in a letter, with I-Script, you will be able to highlight areas of the script by using different colors!

    • One method of displaying scripts will be related to scripting being used as an "operational assistant" for a user. As an example, you may want to remind a user that they should fill in the Financial Profile screen prior to setting up a Payment Arrangement. This information could be displayed when the Payment Arrangement option was selected. There are several points at which a script could be displayed. These are :

      • Opening scripts (displayed as soon as the account detail screen is presented)
      • Closing scripts (displayed when the user exits the account detail screen)
      • Payment Arrangement - Before (for new arrangements only)
      • Payment Arrangement - After
      • Direct Check - Before
      • Direct Check - After
      • Attorney
      • Financial Profile
      • Credit Card information
      • Promise to pay
      • Skip Tracing
      • UB92 information
      • Insurance information

      Once an option has been set up, the system will display the script (based on rules at the company, user level etc.) before the corresponding screen is displayed. The script will not be presented if the screen the user is accessing has already been set up. E.g. If you have a script for Skip Tracing, and there is information on the skip tracing screen for a specific account, the script will not be displayed for that account. Opening and closing scripts are always displayed. The script for the attorney is also displayed, regardless of whether information has been set up or not.

    • When the actual script is defined, you have the choice if setting up a script where each line is 25-characters. This will result in a smaller script window being displayed. If you choose to enter information in the "Script extension" area of an individual line, a larger window is displayed. The script extension are must be used if you will be "merging" account information into the script. There are special codes for merging account information into a script.

    • To set up colors for a specific line, you will enter the color code in the last 2 characters of the script extension area. Valid color codes are *R (red), *P (pink), *B (blue) *T(turquoise), *Y (yellow) and *G(green). You can use *U to indicate that the line should be underlined.

    • The special codes that will merge account information with the script must be entered starting at the first position of the "Script extension" field. The code is entered as *XXXXX where XXXXX points to the information needed. You can enter information after the code. If you do this, make sure you will have sufficient space on the line to display the merged information and your fixed text. Information will not automatically flow to a new line. Make sure you leave one blank space after the special merge code. The exceptions are special characters such as , ? or . which you can place immediately following the merge code.

      The valid codes are as follows. Most of their meanings will be self-explanatory.

      • *DEBTOR (debtor name)
      • *PATIENT (patient name)
      • *BALANCE (on individual account)
      • *PLACEDON (date)
      • *SERVICEDATE (Last transaction date)
      • *CLIENT (Client name)
      • *OURPHONE
      • *OURFAX
      • *CLIENTFAX
      • *CLIENTINFO1 (information from Collector Notes on client master)

    • When a script is defined, you have the option of having the system apply specific Smart Codes for a up to 6 different actions, events or circumstances. e.g. Contact, promise to pay, dispute, attempt, left message, bad number, debtor has insurance etc. You can set up the Smart Codes to be applied for each of those circumstance and the user has to select F1, F2, F3, F4, F5 or F6, depending on the circumstances, and.... yes, the Smart Code field will be automatically populated by the system and the user is only required to press ENTER! We see no reason why a person with no collections, AS/400 or Intelec experience can not be working an account in less than 5 minutes!

      Here's an example of a Smart Code script, allow the user to select one of two function keys.

      What if you have a series of options that you want documented, but do not want to teach a user a series of Smart Codes that need to be applied? This is easy to accomplish with I-Script. As an example, consider the recording of insurance information. The debtor says they have insurance. The collector applies Smart Code 501. That Smart Code could then display a script that says "F1-Commercial, F2-Medicare, F3-Blue Cross, F4-Other". This would be set up for Smart Code 501.

      The user could select F2 for Medicare. The system could display Smart Code 506, which is associated with F2 on the script for Smart Code 501. Smart Code 506 could say "Ask for proof of insurance F1-Has proof, F2-Has no proof". Those function keys could point to other scripts and more choices! As the collector moves along, using different function keys, no knowledge of Smart Codes are required! Yet the correct Smart Codes are being applied, and the collector is actually being guided through the required steps!

      When a Smart Code script is displayed, the user can enter the information in the Smart Code window. The script will usually cover much of the important information on the screen. You can "remove" the script information by pressing F23 from the Smart Code window. If there were function keys set up within the Smart Code script, the system will display the script AFTER the Smart Code information is entered, giving the user the opportunity to read the script again and know what options are available.

    • Based on the way the options are set up, the appropriate scripts will be displayed. Once a user was familiar with the "rules" they would have the option to turn off a script (F22) so that they would not be distracted as they worked additional accounts. The option is valid for the rest of the session. If the user leaves the account processing or inquiry screen and returns to the menu, the scripts will be displayed again.

    • There is an option at the user level to stop a user from using the F22 option to stop scripts from being repeatedly displayed, as related to the above feature.

    • Here is an example you could present an "Opening Script" that will potentially allow a person to work an account with little or no system training. All a person would have to be able to do would be to read!

    • Of course, we've even considered the need to support additional languages! The Spanish-speaking collector would simply select the "Translation" option to display the Spanish version of the script. To set up the translation options, you have to key in the translated version of each script. This option is available on the script set up options.

    • Scripts can be presented based on the results of "analyzing" an account. As an example, you may want to recommend a certain strategy if the debtor has an attorney and the there has been no payment for 60 days. Or there may be a special procedure when insurance has been billed and there has been no payment for 45 days. You will "program" the rules and the system does the rest. These options are defined as a part of the "Rules" on the setup options.

    • We also need to consider the experience of different users. It will be possible to stop scripts from being presented to specific users (Maybe the ones with more experience). You will also be able to set up the system to omit "basic" scripts for the more experienced users. This is accomplished by the use of a "Priority level" within the rule-based scripts. You should set up the most important rules with the lower priority levels. The higher priority levels would be used to set up scripts for less important issues. For experienced users, you would indicate that the system should not look at rules after a given priority level. This would not display the more "basic" scripts for the experienced users.

    • We will also be able to display a script based on the use of a specific Smart Code. E.g. You may want to provide some direction when the debtor says they have insurance. The Smart Code used could present a script that has that information. The script can be set up based on the client, user or a default for the company.

    • How flexible are the rules to accommodate the needs of different clients? As with the rest of Intelec, there will be flexibility at the client, user and company levels. The rules at the client level will take priority over rules at the user level. The company rules would be the "default" or lowest level.

    • When a script is displayed, it will sometimes be necessary to know why that specific script was displayed. Is it a default script? Is this a client specific script? This information will be needed in the event that you feel that an incorrect script had been displayed. You can use F11 (collectors can not access this feature) to display the details of the script. The information will tell you what caused that specific script to be displayed.

    • Added 01/20/03 *PROMDATE and *PROMAMT were added for promise date and promise amount as new "Merge Codes" for scripts.


  • On the Credit Card information screen, we will allow the information from a prior screen to be recalled (F9) when the same credit card is used for a different account within the same linked group.

  • User-defined windows - One of the most exciting features we have developed is the ability to create user-defined screens! One application of this is the ability to store an itemized statement for the debtor. The format of the screen is 80 columns and up to 1000 lines! This will allow any standard "text" to be stored. (An invoice, statement, insurance form etc.) The new feature is accessed from the TAB-Q option on the account detail screen. (Entering "Q" in the field to the right of the Smart Code) There is an option for the User-defined Windows. If any windows exist, the codes are listed. You can select the window code to be viewed or changed. Some of the design features of the user-defined windows module are :

    • Up to 99 windows will be allowed per account.
    • Any of the windows can be created through an electronic load. You will have to specify the data and the window number (01-99) that should be created.
    • Windows 01-50 will allow data to be added via the screens. Windows 51-99 can not be updated by the users. They can only be updated by external programs.
    • Any of the windows can be printed.
    • We will create merge codes for the information in Window 01! This will allow you to create special information that can subsequently be brought to the attention of a debtor (or client). The new Merge Codes are K01 - K99 and will refer to the first 99 lines of Window 01. If your letter program is modified (this may very well be the case), please contact us if you plan to use the new Merge Codes. We will make the changes (at no charge to you). This new feature will allow you to place any special account-related data or a special message in Window 01, and include this information in a letter!
    • There is an advanced option that will allow you to format titles (headings) for fields on a user-defined window. This means you can create a "formatted screen" for any type of information! As an example, you may want to design a screen for a video rental company to show up to 10 titles rented, the security deposit available and the total value of the items rented in the event that they have to be replaced. This will take up 12 lines of the screen. You may want to have titles such as Item 1, Item2.... Security Deposit and Replacement value, displayed on the screen. Rather than having each user key in these titles, we will allow you to set up the titles via a System Control file. When that user-defined window is selected, the titles will be retrieved into the specific lines on the screen (happens the first time only). The option to define these titles is 13 from the "System Control Duplication and other options Menu", which is the 3rd System Control menu. You will be able to select a window code, and will be able to define whether the titles defined should be left or right justified on the screen. The advantage to right justifying the titles is that users will be able to enter the data at the beginning of the line, instead of moving the cursor to the end of the title area. Remember that these are not "titles" as on other screens. They are a part of the data on a line and can be erased or changed.
    • Before user defined windows can be used they MUST be defined in a template, even if you do not intend to use titles. This is needed to make sure that a user is not allowed to se up an undefined window. You must define a "Window Description". This description will be displayed on the window, when it is displayed by a user.
    • When the titles are defined within a template, there is an option to specify that they should be "right-justified". This will move the title to the right of the line and allow you to add and display the data at the beginning of a line as opposed to titles being on the left of each line.
    • If titles are used and you have specified that a new load should add data into a user-defined window, the titles will be appropriately added to the lines at the time of posting data to the special screens.

  • Debtor address information - We will now support additional address information on an account. This will allow the complete capture of addresses that are not in the standard US address format. We have also allowed you to store non-standard phone numbers. (In some countries the phone number exceeds to 10-characters used in the US) In the future, we will provide the necessary code to use the extra address information in letters. To access the new information window, use TAB-Q and select the option from the menu.

  • Collector Queues - We will give you the ability to re-create work for a user at any time in the day! There are many uses for this option. As an example, you may have reassigned a large group of accounts that need to be worked immediately. The system will make sure that an account that was worked that day is not selected again. If a selected account is in another user's queue, but not worked, it will be deleted from the other worker's queue and added to the new worker's queue. The option to re-create a queue is on the Special Options Menu (Option 13)

  • Linked accounts summary - On the linked accounts screen, there is an option (F15) to display a summary by worker, QCat or client. There will be a new option called "Account Summary by Balance Type" that will analyze the total linked balance by the different secondary balances.

  • The Notes screen (F11) will have an indication that Special notes or Archived notes are present for the account.

  • We will allow you to store an E-mail address for a debtor. At this time, we are not providing the support to e-mail a letter to a debtor. While the technology exists, we need to clearly understand the legal aspects as well as the way in which FDCPA considers e-mail to a debtor.

  • Letters - We have provided an "on-demand" letter feature. This could be requested by any user other than someone defined as a "collector" and is available off the TAB-Q option on the account detail screen. The letter will be generated when the option is selected!

  • Since we have expanded the TAB-Q options, we needed a method to let a user know that special information has been defined within some of those options, and also, what specific options have been set up. If any of the TAB-Q options have been set up (other than Credit Card payments) the system will display a "Q" in the field to the right of the Smart Code when the account is first displayed. When the TAB-Q menu is displayed, the options that have data will be highlighted!

  • Full legal screen - On this screen (F6 from details), the system would allow you to key in an attorney code and the corresponding name/address etc. For a new attorney, the system would create a record in the Defendant Attorney based on the information entered. It was easy for incorrect attorney codes to be created by any user who had access to the legal screens. The system would also allow you to change the attorney code on existing information and this could incorrectly have changed the name/address information stored on the attorney file. The following changes have been made.

    • You must set up attorneys before they can be used. (Update Legal masterfiles option from the Management Menu)
    • When the code is entered on the full legal screen, the correct name/address information is brought into the attorney screen. You are not allowed to change the attorney name/address information on the screen (fields are protected). If changes are needed, the attorney code can be changed, or the information on the masterfiles must be changed. In all cases, the new data will be brought into the legal screens.
    • If an invalid attorney code is entered, an error message will be issued.
    • When a user tries to delete the full legal information, a warning message is issued. The user must respond to delete the information.
    • On the attorney search (F2 from the full legal screen with attorney information) there are new options to search by attorney name and the attorney's city. This will help you to find an attorney quickly if the code is not known.

  • Work Maps - A user currently can not, when working another User's queue, display that work map. We have made a change to permit this, provided the the user name (System Security) on the selected User ID matches the name of the person signed on! This will help if the same person has more than one User ID set up and is associated with different worker codes! It will no longer be necessary for these users to sign on more than once, to work all of their accounts.

  • Display recently accounts accessed - How often have you looked at an account and accidentally exited and not bee able to find that account again? Have you wanted to go back to one of the accounts you worked 10 minutes ago? We have the answer to these problems. The system will remember the last 5 accounts accessed, and display that list (company, case number and last name) on the Account Inquiry search selection screen.

  • Account Viewed notes - While these notes are important, we feel that they can distract a user when several of these notes are displayed on the first screen. With this release, if there are more than 5 notes on an account, we will not display any of the "Account Viewed" notes on the account detail screen. The F11 notes screen will display all notes, including the "Account Viewed" notes.

    We have also added the time at which the account was originally accessed on the Account Viewed note. This will let you determine how long the account was viewed by the used. As an example, the note added may say "Account viewed from 10:31".

  • Creating collector queues - Intelec has always had logic to keep performing payment arrangements out of a collector's queue. A postdated check or direct check should be treated in the same way as a payment arrangement with regard to presentation to a collector. With this update, we will treat any account that has a postdated check or a direct check pending, in the same manner as an account with a performing payment arrangement.

  • Adding notes - Presently, a user is only able to add notes by using a Smart Code. After much consideration, we have created an alternate method of a adding notes to an account. You will now be able to add notes without the use of a Smart Code! This in no way changes the functionality of moving forward to the next account etc. when an account is presented in the queues. That is a feature of the Smart Code. Adding notes is not going to qualify for the account being "worked" when the system decides to apply the "Account Viewed" note. Adding notes with the new feature will not update the date last worked either. This feature was primarily designed for management or support people and for an on-line client to easily add information to an account. The new feature is accessed by using F6 from the F11 notes screen.

  • Smart Code window - If you are trying to enter a Smart Code that was previously applied but has not been processed by the system, you will now see a message that the Smart Code exists and that it can be deleted by using F20. F20 will stop the Smart Code from being processed. You have between one and 2 minutes before a Smart Code is "processed".

  • Timed recalls - If there is a pending timed recall for a later time in the day, it will be deleted if a "Contact" Smart Code is applied to the account. You would usually not want the account to be represented, since a contact was already made. The exception - this will not happen if the recall is set up at the same time the Smart Code is applied. e.g. You may to contact a debtor who asks you to call back in 1 hour. In this case you do not want the recall to be deleted.

  • Returned mail flag (Added 10/01/02) - A note will be added if the returned mail flag is changed.

  • Credit Card Payments (Added 10/20/02) - We will now allow the entry of an amount that exceeds the balance owed. The user is warned, and the transaction can be accepted by using F12.

  • Bankruptcy Information (Added 11/30/02) - We have added a TABQ option to allow a user to access the bankruptcy information. Remember that bankruptcy information is not linked to an account. It is maintained by social security number and name. When the new option is selected, the social security number will be passed into the inquiry and you should see a list of bankruptcy records sorted by social, with the required account at the top of the list. The user can view the information. The user should not be able to change information unless they can close an account or have access to the daily operations menu.

  • On-line Clients (Added 01/29/03) - An on-line client will not be able to access the TAB-Q option, or the purge inquiry from within Account Inquiry.

  • Account Viewed note - (Added 02/07/03) - Presently, the "Account Viewed" note is always added to the primary account. If the account that was viewed is not the primary, the case number viewed will be shown in a separate note.

  • Note for worker code changes - (Added 04/01/03) - A note will be added when the worker code is changed on an account.

  • Note for promise pays - (Added 04/01/03) - The system would add a note with promise amount and date if no notes were entered by the user or added by the system when there was a promise (Follow-up date of "P" if Smart Codes). This has been changed. The note will always be added to document the promise date and amount. This will be used in future decision-making.

  • Payment arrangements (Added 03/10/03) - If a payment arrangement Smart Code has been set up and is used, the payment arrangement screen (F9 screen) will be automatically presented after the Smart Code has been entered.

  • Linked Accounts Summary Screen (Added 12/04/03) - On the linked accounts screen (F5), we will indicate any accounts that have a warning description code by making the case number blink or display in red.


  • For the Account Processing Quick View option, we will now display information for users who do not have a queue to be worked! This will allow you to audit clerical personnel or people who work in a pooled environment.

  • Consolidated company reporting - Several users now run Intelec in a multi-company environment. To review important management information for a company, you have to change companies and select the specific reports. The existing reports are grouped within the "Company Statistics" option on the Management menu. We have created a new option called "Consolidated Reports". This is an option designed to display the key information for all companies, regardless on the company you are signed into. It can only be selected if the user has access to all companies (System Security). The options available are a Company Statistics Screen, Daily Payment Summary Report, and the Payment Summary for a period. The payment reports can be printed or displayed! The information from the first active company is displayed, and the next company can be displayed by pressing the ENTER key. There is an option to combine the information for ALL the active companies and show them on a single report or screen! The new options can be selected off the "Company Statistics" option on the Management Menu. You must have access to "All companies" to select the new options.

  • Payment Summary Reports - We have added columns to show non-reportable payments for each balance type. We have also added a "Total Income" amount which will be a total of the commission plus the non-reportable payments.

  • Subgroups for Reports - While Intelec's reporting is very flexible, we have been aware that the reporting levels can be expanded. As an example, a client may need a performance analysis based on the geographic distribution of their stores. Within a certain area, there may different management units that want specific client numbers grouped for analysis. We will now support a Reporting Area and Reporting Division at the client level. The Placement History and Group Placement History will allow you to select a Reporting Area or Reporting Division. We will allow you to also define the contact name, address, e-mail information etc. for an area or division. Presently, only the standard placement history by client and group placement history will utilize these features.

    There is an exiting new "consolidation" feature too.

    • The "Area" is a higher classification than the "Division". You would usually set up divisions, within an area. e.g. "NORTH" may be an area, while "PHONES", "APPLIANCES" and "COMPUTERS" may be divisions representing different lines of business, within the area. This information is set up on the screen that shows "Standard Report Options" within the client update.
    • Areas and divisions are client-specific. You can use the same codes on different clients, but the system will not combine information across different client codes into a single report (The exception is client codes within the same group and these can be combined into a single report though the Group Placement History option). If you want to combine completely different clients (not a part of same group) into a single report, you should use the "Consolidation feature" described later on.
    • The detailed information (name address etc.) for the area or division can be defined by using F10 from the client update screen that has the area and division fields.
    • When working with the client reports and the screen for selections is presented, you can key in different client numbers (maybe the client codes for the group) and then select an area, area and division, or division only. The report will only include the client codes that meet the specified conditions. When the report is printed, if a division is specified, we will look for a division name and address and print that information if it has been set up. The same applies if an area is requested. If area and division are selected, we will print information from the division code only.

    • We also have a "Consolidation" feature. The "Consolidation Code" is set up on the same screen where area and division codes are defined. This feature allows you to produce a combined report for a client, but to include client codes from different companies! All you need to do is set up the same consolidation code for the different client codes in the different companies. The consolidation code must match the client code in one of the companies, and you must always request the report from that company. The system will produce a single report for that consolidation code, and assuming you have set up the Client Name, address etc. for the Consolidation Code (F10 from client update), in the company that you run the report from, this information will be printed on the report. This is a powerful feature than can be used to combine first and second placements, or even bad debt and early out, in some instances. (In the latter case, some of the early-out accounts may have rolled into collections and the numbers may not be a true reflection of the placements.)

  • Smart Code Audit Report - The report that looks at the notes to generate a report for any period has been enhanced to provide significantly faster throughput. An actual comment from a user who tested the new option - "The report which ran for about 2 hours this morning, took about 3 minutes. Great Job.!!!!"

  • Detailed collector audit - A selection for a date range of date last worked had been added to this option.

  • Client Inquiry will display the last date that each of the key reports was generated! This will be of great value when report requests are received by sales or other support personnel.

  • Close Reports - We have added a field to the Description Codes System Control file called "Description for Close report". This will behave in a manner similar to the "Description for Status Report". You could set up the main category of close code (e.g. Returned to client) and then add a description code to indicate the secondary reason for the close, such as duplicate account, placed in error etc. The system will search the description codes on an account (starting from the last ones) until it finds a code that has a special description. If a valid description code is found, this special description will be printed under the description for the close code.

  • The Account Processing Progress Report (was option 15 on the Management Menu) has been removed from the menu. Is is now within the Account Processing Review (Option 14) on the same menu.

  • Payment Summary Reports - We have added new options to print these reports without considering the Trust Account Codes. A single report will be produced, without separating the pages by trust account code.

  • Account Processing Quick View - This is an existing option from within Account Processing Review, Option 14, of the Management Menu. It displays the accounts worked and the time spent on each. The information was based on Smart Codes applied. This was not as accurate as required, because if a user did not apply a Smart Code, the information was not captured! We have significantly enhanced this feature to show you every account that was accessed! The tracking begins as soon as the account details are displayed. The time you "stopped" working the account is the time you left that account by going out to inquiry or ending the job. This option will show you time, including the seconds component. This is now a very powerful feature!

    These enhancements have also been extended to the time management reports by individual account, off the same Account Processing Review options.

  • Status Reports - On the report that prints payment information, the name field had sufficient space for 15 characters - We used to print the last name plus as much of the first name as we could accommodate. To be consistent, we will print the last name and first character of the first name on this format only.

  • Productivity Reports - On the productivity reports (Smart Code analysis etc.) the option to specify a date range for the "Monthly" option has been removed.

  • Placement History Reports Reports (Added 12/07/02) - We have added a placement history report by zip code, based on existing accounts.

  • Close Reports (Added 12/07/02) - We have added an option to allow you to print the "Alternate Close Report" when close reports are run for all the monthly clients. All you have to do is set up the report type as "X" in the client master, for the "Close Report" option. The report will be printed within the same spool files as the other reports!

  • Collector Comparison Reports (Added 04/15/03) - We had always planned to have forwarded agent retained amounts reduced from a collector's 'commission' totals. After all, this is money you paid out and collectors should not be credited for that. But there was a bug that did not do this correctly. This has been corrected. This means totals from the collector comparison reports may not balance with, as an example, the payment summary total for commissions. There will be a separate total for forwarded agent retained amounts on these reports. In addition, we will provide totals of any NSF's posted after the end of the processing period. You must use the automatic reversal feature for this feature to be effective. This will help you understand how much money you have given collectors credit for, but have later had the transactions reversed. This could be a useful evaluation tool.

  • Productivity reports in Nightly Processing (Added 05/06/03) - We have changed the reports so the output is held on the spool file. This will allow you to print the reports only if they are needed.

  • Account list from Linked Account Summary (F17 from summary) - Added 07/17/03 - We have added client account number to the report.


  • Interest - The interest balance field in Intelec only supports a balance up to $99,999.99. In some instances the interest on an account has exceeded this limit. We will now support larger numbers, by allowing the interest to be stored in one of the secondary balance fields, as opposed to the "Interest" field. On the Balance Types System Control file, you will specify the special balance type (1 - 9 or 0 for 10) that should be used to store interest.

  • On the Multiple Close-out (Special Options Menu) we will also allow a client account number to be specified, instead of a case number. There is a function key (F10) to switch between the two options.

  • Billing statements - We will allow you to generate billing statements for a debtor. Typically you would use such a feature for specific clients or you may set up a company that specializes in billing. The following are the features of this module :

    • The concept is to allow you to print a statement for a debtor, considering all linked accounts, and showing the previous balance, all transactions since the last statement and an ending balance.
    • You will be able to define "cycles" based on an alphabetic breakdown by debtor name. This will be at the company level.
    • You will select the statements to be run based on remit codes to be included and cycle. As an example, you may choose to have 4 cycles and run statements every Friday. Every Friday, You will select the remit codes to be included and the cycle to be included. The last statement date will be retained and used as the starting date for the new statement. The ending date is always the run date for the new statements.
    • The statement will usually need to be customized. This may involve around 20 hours of work. Ideally, you would have one statement for all clients, but you could have different formats for different clients. If you only want one client's transactions on a statement, you will need to make sure that linking only occurs within that client.
    • To use this new option, you will need to consult with our technical staff to discuss the formatting and modifications for the billing statements.

  • Interest Rates - Some of you who do work related to federal programs or banking systems may be required to store and use interest rates that hold more than the 3 decimal places that we currently allow for. With this release, we will provide support for a field that can handle rates with up to 7 places of decimals. Here are some details :
    • The special rate to 7 decimals, can be specified at the client level. It can only be used with daily interest application.
    • On the electronic loads, the transaction file SCATRNTL will allow for a rate to 7 decimals. There is a new field for the special rate. The existing field has not been changed.
    • On the second account detail screen, if a special 7-decimal rate is on the account it will be displayed.

  • Payment Entry - For payment entry, we will support transaction amounts greater than 1,000,000. In the event that this feature is used, you will not be able to use the linked accounts screen to distribute a payment. Any payment over $ 99,999 must be applied directly to an account.

    On the linked accounts screen, when the ENTER key is pressed, we will automatically display the next page of linked accounts. This will help in the distribution of payments when a large number of linked accounts exist. Presently, you have to use the page up key to display additional linked accounts.

  • Linking - There are significant enhancements to the linking and unlinking processes.

    • Presently, it is not possible to unlink a primary account and attempt re-linking, if other accounts are linked to it. If a Smart Code specifies that an account should be unlinked and re-linking attempted, and the Smart Code is applied to a primary account, the new changes will correctly handle the request. The first open account will become the new primary for the other linked accounts. If there are no open accounts, the first closed account will become the new primary. If payment arrangements, postdated checks or other information maintained at the debtor level are present, this information will be moved to the new primary account.

    • You will have the opportunity to specify that linking should only take place between specific types of accounts! This is a very powerful feature. An example of its use would be separating legal accounts from non-legal accounts. You could keep the two types of accounts in different linked groups and make sure that new accounts only linked to the non-legal group. If a non-legal account was referred to legal, re-linking could be attempted, and the account could then link to the legal group. Another example would be separating insurance and self-pay accounts, and working them independently. Again, new accounts would link to one of the two groups, and when the status of an account changed, re-linking could move the account to the other group! Here are some other details.

      • This option is set up using the "Linking Option" on the collector file. Using 0 through 9 in this field will tell the system that you only want accounts for that collector to link to other accounts with a linking option in the range 0 - 9. You should use caution when using the numeric codes. Accounts that would normally link to other accounts may not be linked based on the linking options!
      • The system will also be sensitive to the code you set up. We needed a method of allowing for small and large-balance collectors within a specific area. What we have done is to have the system look at a lower code (e.g. 1 compared to 2) as a "smaller balance" collector. If the new account is associated with a linking option of "2" and it links to a group of "1" type accounts, we will change the existing accounts, giving them to the "2". If the new account is a "1" and it links to a "2", we will change the new account to the "2". If there are "1" and "2" type accounts and a new account is received, the system will link the new account to the highest code found and then follow the rules for changing collectors described above.

  • Returned mail - We will allow you to apply a Smart Code on the entry screen. This will allow you to flag special conditions such as the return of the first letter!

  • Client Statements - A statement test on standard paper has been added to the Statements Menu (Option 6). This statement will print with formatted headings and can be generated at any time.

    Preliminary statements and Trust Reports will now be grouped by Trust Account code, if this feature is utilized.

  • Sales - On the client tracking area of the sales module, the summary (F9) option has been enhanced to include average age and balance for the last 12 months of placements.

  • UB92 - CPT modifiers have been added to the charge details. Up to 2 modifiers can be specified by using F10 from the charge details screen. This will only be applicable when CPT codes are specified in the "Rates" field, along with the HPCS indicator. The modifiers will be printed on the UB92 form.

  • Nightly Processing - The following changes have been made.

    • We will now keep a permanent history of the Nightly Processing "log". This will include the next working date that was specified. This log can be displayed even after INTELOPR messages have been deleted. To access the history, key in ?N at any menu. You will be prompted for a date. This is an "activity date" and the steps performed on that date will be displayed. Since some steps may be started after midnight, remember that a part of the processing may be displayed under a different date.

    • Presently, if Nightly Processing has been started, you can not look at the options that were selected, or change them. You have to first cancel the processing, make any changes and then restart the processing. With this release, if Nightly Processing has been started, a message will be issued and you can either exit, or you can display the options that have been set up to run. You can change any of the options, and the system will use the new options when Nightly Processing is started.

  • Sorting of letters - To address the need to have some letters grouped by the person requesting the letter (e.g. a letter to a client or an insurance company) we will allow sorting of letters by owner or worker code. This option is on the second screen of the letter codes System Control file.

  • Client Payments - If you have a payment from a client that has to be distributed over several invoices, this change will help. For Client Payments (Payment Code 51), enter the full amount on the first screen and use F9 to display the invoices and select an invoice to be paid. The system will bring in the invoice balance into the payment amount field. When you press ENTER to process the transaction, the system will calculate the new balance to be applied, and redisplay the list of invoices. You can apply more of the payment by selecting another invoice number.

    Note - You must enter an amount on the first screen before using F9 to display the open invoices. If you do not do this, and use F9 to select an invoice, the invoice balance will not be brought into the entry screen.

  • Collector Reassignment - On the "Standard" option within the Special Options Menu, the number of collectors to receive accounts has been increased from 8 to 24.

  • Manual linking - The manual linking options did not check rules on the linking System Controls for "Link to same client" (C) or "Link to same client type" (Y). This logic has been added to the programs.

  • Changing client codes - Within the Special Options menu, there is an option to change client codes on accounts. You enter the new client code and the case numbers to be changed. Sometimes, you will be in a position where a large batch of accounts was loaded with an incorrect client code. We have a new feature to allow you to correct these accounts. When you exit the option to change client codes, you will be presented with a new option that will allow you to change client codes based on a range of case numbers. Enter the "from" and "to" client codes along with the starting and ending case numbers - The accounts will be changed! Do not be concerned that there may be accounts for other clients within the case number range that you specify. These accounts will not be changed.

  • Post-dated checks - We have added the option to allow you to enter a bank routing number and checking account number at the time of entering post-dated checks. This is only operational if you have bank routing number information stored in the routing file on Intelec (You will need to subscribe to this data and your bank may be the best source for more information). This feature will allow you to capture the checking account information and add it to the direct checks screen for future use.

  • Payment Arrangement Reminders (Added 06/14/02) - We will supress a reminder letter and add a note, if the due date is within 3 days of the next work date. This is the same thing that happens for a postdated check letter.

  • Post-dated check entry (Added 01/21/03) - On Post-dated check entry, you now have the ability to specify a Smart Code to be applied to the account.

  • Returned mail entry (Added 04/09/03) - If there has been an address change on any linked account within the last 30 days and that account has a good address, the user will be warned, and the existing address displayed. The user can accept the entry. This will give you a method of stopping returned mail from being applied on an account that has had an address correction between the time the mail was sent and the mail was returned.

  • Edits for electronic loads (Added 04/09/03) - The possible duplicates message will also indicate (on a separate line) whether there is a possible duplicate with the same client code, or within the same client group. If there is a possible duplicate with the group (different client code) and the same client, the message will show a possible duplicate for the same client. In the past we indicated that there was a possible duplicate, showing the client account number, but we did not give any indication as to whether there was a client code or group number match.

  • Payments by collector (Added 06/26/03) - There are some cosmetic changes. Some descriptions have been changed. We have added the payment code to the details. There is an indication if there is a cash adjustment (Forwarded agent retained amount).

  • Payment Summary Reports (Added 01/26/03) - The non-reportable totals at the top of the report were only considering legal transactions. This has been modified to include all non-reportable transactions. The field "Total Income" has been expanded. We will now show forwarded agent retained amounts (cash adjustments) as well as forwarded agent commission due (Type 61's created by the system) and a "Net Income".

  • Account print from linked account summary screen (Added 07/26/03) - The User ID has been removed from the report. We have had several requests for this based on the fact that the User ID sometimes contains a part of the collector's name and must not be divulged to a debtor.

  • Month-end reset (Added 09/02/03) - Some of you who use Intelec in a multi-company environment run the month-end reset at different times in he month for dufferent companies. One of the options within the month-end reset deletes the Smar Code history for the companies The User ID has been removed from the report. We have had several requests for this based on the fact that the User ID sometimes contains a part of the collector's name and must not be divulged to a debtor.

  • Purge (Added 12/05/03) - You can select all close codes by keying in "ALL" in the first 3 characters of the close codes field in the purge parameters. The system will look at the days to wait before purging for the individual close codes that exist.


We have changed the system to accommodate a number up to 999,999 for the a collector's active number of accounts (Yes, this was affecting some users!). This change does not affect you operationally, but it has involved changes to many programs. If you have modified any programs that update the field RACT# in SCCOLEC, you need to be aware of this change. Here are some details.

  • The field in the RACT# collector master was not changed. We created a new field RACT#E that will accommodate 6 characters.
  • All programs will continue to update RACT# as before. We added logic to also update RACT#E.
  • If you update RACT# (We do not expect our users to be changing statistical information!) then you must also update RACT#E.
  • We have also added similar logic to update the month-to-date and year-to-date placement number for the same file. This information is only updated in the account load and linking programs.
  • Quantrax will modify all the base programs that are affected as well as any custom programs that were written by Quantrax to update or use the modified fields.

The field sizes for the account detail screens (WACINQFM, WAPINQFM and WVWINQFM have been changed) While we have modified all custom code that we have worked on, you should be aware of this in case you have changed any of these screens.


There are separate instructions for those of you who are already on Release 7.1, and for those who are upgrading to Release 7.1 from a prior release. Please make sure you select the correct set of installation instructions!

THE FOLLOWING ARE FOR USERS WHO ARE CURRENTLY ON RELEASE 7.1 AND ARE RECEIVING A "BASE SYSTEM (7.1) UPDATE". (The current release is displayed when you sign into Intelec on on the Main Menu)

The complete installation of this update will take about 30 minutes, We will need a dedicated system for about 10 minutes of that process. The process will also delete and recreate the transaction file for electronic new business loads. If you are processing any batches of accounts they should be posted before starting this install. You will lose any data in the electronic load transaction files!
  1. You will need the CD that you received. Other users can be on the system during this stage of the procedure.

  2. Sign on as QMASTER, load the CD in the optical drive and get to a command line.

    Now key in CALL INSTALLNCD and follow the instructions. Ignore the references to "Tape" on the screens. (This option will take about 15 minutes, longer if users are on the system.) At one point in the installation, the system will check that the library SCLIB is not in use and if it is, it will display any jobs that will need to be cancelled. At the end of this step, you will be asked to have all users signed off the system.

  3. After Step 2 is complete sign off and sign on as QSECOFR. At this stage, do not allow users to sign on. The rest of the installation process could take several hours. This is because we will be creating a logical file over the notes file. There are other logicals over the payment and account files. The time taken can not be predicted, and will depend on the size of the account, notes and payment files, your processor and the free space on your system.

  4. Key in ADDLIBLE SCLIB (Press ENTER after each step)

  5. Key in CALL INSTALLN71, press ENTER and follow the instructions. When this step is over, the installation of the base software new release is complete. This step will take about 10 minutes, depending on the size of your files. When this step has been completed, you will receive a message "New library has been installed. Press ENTER to sign on".

    Remember to use "opt01" if you are using a CD and are prompted for the device name.

  6. Sign back on as QMASTER and key in CALL INSTALLMOD from a command line (There is one space after CALL). This will load your custom modifications. It will only take a few minutes. Remember to use "opt01" if you are using a CD and are prompted for the device name.

(The current release is displayed when you sign into Intelec on on the Main Menu)

The complete installation of this update will take several hours (in excess of 2 - 3 hours in some cases). After the initial steps, the section that takes a long time can run unattended. You will need to check on the job to ensure it has completed. We suggest starting the installation and letting it run overnight.

The part that will take a long time is the creation of the notes, account and payment logical files. Once the job has started, you should wait about 5 minutes and could leave if there are no messages. It is recommended that you start the installation on a Friday or Saturday, and come back the next day to make sure the job has completed. (In our initial tests, this step took about 2 hours on systems with about 1.5 million accounts.) When this step has been completed, you will receive a message "New library has been installed. Press ENTER to sign on".

  7. Please sent us an e-mail to support@quantrax.com as soon as you have completed the installation of the new release. This is very important since we are currently supporting multiple releases of the product, and need to know when you have converted to the latest version of Intelec.

WARNING (if you have technical people) - The source code in SCLIB may not correspond to the object code. This is because when we transmit a PTF to the base, we will often transmit only the compiled objects.
